onsite in New Providence, NJ
$30 - $33 per hr
Job responsibilities:
- Provide administrative support and manage an extremely active calendar of appointments for assigned leaders. Plans, coordinates, and ensures the leaders schedules are aligned.
- General administrative support to assigned leaders
- Assist with composing and preparing correspondence and presentations on behalf of assigned leaders.
- Arrange and book complex and detailed travel plans for both domestic and international travel, creating itineraries and agendas and compiling documents for travel-related meetings and industry conferences.
- Create and submit expense reports via Concur for assigned leaders as needed.
- Create and submit purchase order requests for assigned leadership team members.
- Work closely with HR to assist with scheduling and arranging travel for candidate interviews. Be on site during in person interviews to help facilitate candidate experience.
- Prioritize conflicting needs; handle matters expeditiously, proactively, and follow through on projects to successful completion, often with deadline pressures.
- Works closely and effectively with assigned leaders to keep them informed of upcoming commitments and responsibilities, following up appropriately.
- Proactively collaborate across functions in coordinating calendars, requests, and events.
- Other projects as assigned.
Requirements:
- Bachelor's degree preferred.
- 2+ years of experience supporting high-level executives, including executives
- 1+ years of experience in the Pharmaceutical/Biotech industry preferred
- Professional, positive manner, with experience in a role requiring a high degree of confidentiality.
- Significant responsibility working in a dynamic, demanding, and fast-paced environment.
- Exceptionally organized with keen attention to detail with the ability to shift focus and priorities, when necessary, under pressure, and within deadlines
- Outstanding verbal and written communication skills; strong ability to inform and engage through written communication.
